What Are Our Hours of Operations?Our normal business hours are Monday to Thursday 6:30 am to 4:00 pm. We know you are busy with your customers during your hectic day so we open early to assist you before getting too far into your day. Anything submitted to Beaubien Business Services, Inc after Thursday at 4:00 pm will be reviewed our following business day. Check Google for our up to date weekly hours.

Do I Need Bookkeeping?Bookkeeping is so important for every business! Your taxes rely on your bookkeeping, this helps insure that you are not missing any expenses and paying taxes on monies you shouldn't be. ​ Future business operations rely on bookkeeping also. You should be reviewing your financials to see your income vs expenses. With this information you can plan for future goals, have the financials for applying for business loans or establish business credit. ​ The moment everyone dreads, the event of an audit. With your bookkeeping already done, you will be able to show the auditor accurate records. ​ Most importantly though, outsourcing your bookkeeping allows you to focus on your main goal, running your own business.

Who Needs PayrollIf you are a S Corporation, payroll is one of the requirements the IRS has for owners. Additionally any person you have working for you must be on payroll too. The IRS and your state require payroll taxes to be deposited and payroll tax forms to be filed. Don't worry there is an add on for this and we can take care of this.

How Does Billing Work?We start with making sure we are a good fit for each others company. After we have established that we can assist your company, we will review the package you have chosen for your company with you. We will then send you your Contract and Credit Card Authorization Form. Both need to be completed and signed before we can start. Payment for services is also required prior to start date. We give you the option to to choose the day you would like your payment to come out. This will be setup as a recurring payment to be deducted each month on the day you have chosen. You will not receive a monthly invoice, since the contract will have the breakdown for you. Example: We sign contract April 3rd for the $89/month plan. Contract is for April 1st 2018 to March 31st, 2019. You choose to have a recurring payment deduction of the 10th everyone. We will deduct the first payment of prorated $26.70 on April 3rd, 2018. Then the 10th of every month to contract end date we deduct the full $89/month amount.

How Does the Cash and Check Billing Work?There is a $3 fee per each cash and check transaction (including physical payroll checks not direct deposits) billed every month. This fee will be automatically drafted from your account at the same time as your normal reoccurring bill.

How Do I Get My Financials & Tax Returns?It is important to review your financials, we have set you up to be able to run any report you may need in your Quickbooks Online. Monthly though you will receive your financial statements sent to your email. ​ You will receive a link for your Tax Returns, so that you can download a copy for your records.

Do You E-File?Yes, most payroll taxes and income taxes are submitted via e-file. We do run into issues that some files aren't able to be e-filed. If this happens we will let you know and send you the forms to file along with instructions for signature and mailing.

What Software Do You Work With and Is The Software Included?We only work with Quickbooks Online. It is important to review your financials, we have set you up to be able to run any report you may need in your Quickbooks Online. Monthly though you will receive your financial statements sent to your email. You will receive a link for your Tax Returns, so that you can download a copy for your records.

What Kind of Communication Is Included In My Package?All packages come with limited communication with our staff. Limited meaning, one time per month you can email with your accounting team any questions you may have regarding your companies financials, bookkeeping and taxes. If you feel you need more communication with your accounting team you can add the Unlimited Support add-on. Unlimited support gives you unlimited email, phone and meeting support. Do Your Bookkeepers Travel To Clients Offices?No. We do not travel or preform onsite work. In this technology world we live in, working remotely with our clients all over California, Arizona, New York, Illinois, Hawaii and many more has been simple. With email and secured shared document storage, we have plenty of ways to work efficiently with your company. We can complete your bookkeeping, payroll and tax work simply!

What is TSheets? And How Can It Help Me?As business owners you have a lot to keep track of. Having employees makes that list of items to keep track of even longer. With the TSheets add-on, you don't have to calculate the hours before to sending to us anymore. You can have employees clock in to specific jobs so you know how long each job is taking. There is also a mandatory signature from employees approving their time and a manager must approve before we can run payroll. Check out the Payroll FAQ's for more info.

My Company Has Revenues Over $5M , Can You Still Help?"Once your business has grown over $5 million businesses normally hire on on a staff member to help with answering the phones and transitioning them to do office administration and bookkeeping. This does depend on the business so please feel free to contact us to review your specific business needs.

Can I run my own invoices from QuickBooks?Definitely! Our main goal is to assist you with accurate financials for your tax return, so you can make sure you are deducting every expense you have. If you want to invoice from QuickBooks Online we suggest setting up a separate QuickBooks Online file that you will invoice from and can keep track of your payments coming in. If you would like we also offer the Accounts Receivable Add-On, which we can apply payments for you to open invoices. We do have some issues with businesses adjusting items which would then cause us to deduct for billable hours to fix what we have already done. So please be be careful if you decide to go into the books yourself though.

Do You Offer IT Services, Admin Assistance or Any Other Services Not Described on the Services Page?"No, unfortunately we do not. Every company is different and admin assistance varies depending on the office. As your company grows you begin needing more assistance to get the small tasks done so you can focus on the growth of your company. Check out our Resources page for some suggestions we have for helping you out there.

Do you Offer Document Storage?Yes! We have a system we can give you access to or you can contact us to mail all paper receipts and documents to us monthly for filing.

I Am The Only Employee In My Business, How Does Payroll Work?"If you own an S-Corporation, you must be on payroll. We go over what you as an owner should be compensation yourself. Once that is established you will set up a recurring payment through your bank's online bill pay from the business to you personally. We make the pay stub and tell you how much you owe in payroll taxes.

What Payroll Frequency is Included in the Basic Payroll Add-On?Monthly payroll runs are included in the payroll add-on plan. If you would like to run payroll more frequently we can set you up with your own access to log in online and run payroll when you would like.

How Do You Know When I Hire New Employees?You must enter all employee information before your new hire starts. Don't worry though, the payroll system is online and will guide you through what you will need. Examples are hire date, rate, etc. The employee completes the information they have, like address, social, date of birth, with-holdings.

Are Employees Paid via Direct Deposit or Check?Direct Deposit is included in your payroll add-on, so I suggest having all your employees sign up. Checks are an option you can still do in your own office. Please remember for bookkeeping that there is a fee for each check written though.

When Do Payroll Taxes Come Out?For the most part, payroll taxes come out after 4pm on date of payroll run. There are some exceptions but we will go over that when you sign up.

When Do I Need to Make Sure Funds are Available in My Checking Account?Funds must show available one day prior to payroll processing . If they are not available the processing company may deny direct deposit and have you issue manual checks.

How Do You Know What To Pay My Employees?You are responsible for sending us the exact hours worked, pieces earned, rate per piece, hours of sick time, hours of vacation. We have an add-on called TSheets that can help you calculate this easier.

Can I Pay My Employees Reimbursements and Other Items on Their Payroll Check?You can add reimbursements, lunches, mileage, etc to a payroll check. This is done by the businesses administrator, by logging into Gusto to confirm hours and then they may add any other pays needed. Although Beaubien Bookkeeping is not responsible for keeping back up on this, we do need the Expense Reimbursement form sent so we can correctly journal entry the items. Please be advised your business must email the "Expense Reimbursement" form within 2 business days to payroll@beaubienbookkeeping.com

What About the Reimbursements to My Employees?We can add the reimbursements to their paycheck, but we require an expense sheet completed and sent in by the payroll cut off in order to include in payroll check. You should keep all original expense sheets to attach to the receipts they give you.

What is the Payroll Cut Off?That does vary depending on your payroll schedule and the bank holidays. We have a 4-day Processing Run and a 2-day Processing Run. The 4-day, is automatically given to clients for their payroll runs. If you would like more time to review your hours before sending them to Beaubien Bookkeeping you can apply for a 2-day Expedited Processing. Example of a Normal 2 or 4 day processing depending on your approval: Normal 4-day Processing: Direct Deposit or Manual Checks Written in Your Office Friday Pay Date - Monday by 2:00 pm (Hours due via email or Approved Hours Approved via TSheets, Deputy or Knowify) Approved 2-day Expedited Processing: Direct Deposit or Manual Checks Written in Your Office Friday Pay Date - Wednesday by 2:00 pm (Hours due via email or Approved Hours Approved via TSheets, Deputy or Knowify) *THESE ARE HARD CUT OFF TIMES. PAYROLL IS AUTOMATICALLY PROCESSED AT 2:00PM ON MONDAY OR WEDNESDAY DEPENDING ON APPROVAL.

Do You Keep Track of My Employees?No. You must keep your employees information on file. You can do that electronically or via paper, depending on how your business keeps records. An example of items you must keep: Application, I9, W4, Time Cards, Rate Change History, Etc. There are some add-ons to assist you with the above like TSheets for time cards with signatures. Our payroll program does keep your employees W4, but you will need to download for your copy.

What is a Payroll Audit?Payroll Audits for payroll Beaubien Bookkeeping has done is included in your contact. For the most part, every company has a yearly payroll audit through the workers comp company they have set up workers comp with. When you set up your workers comp be sure find out what will be needed for these audits so you can start payroll correct. One of the number one items you will need to track is your workers comp code for each employee. If you do not know what code they fall under give your insurance agent a call so you can set this up correctly every time you add a new employee or change their position in your company. We must receive workers comp codes for each employee when you set them up, if not we will can charge hourly to go back and adjust.

I'm Late With Payroll, Is There Anything You Can Do?"If you have missed your payroll cut off that was assigned during set up, we will send you the amount for the in office check you will write and get you pay stubs to give your employees. IMPORTANT INCOME TAX DATESFebruary 1st Deadline to have all business tax information to us. If you need more time, we will file an extension for you. Our office begins preparing corporate returns again on June 1st. March 1st Deadline to have all personal tax information to us. If you need more time, we will file an extension for you. Our office begins preparing personal returns again on June 1st. March 15th If corporate returns are not yet filed with federal and state authorities, an extension will be filed. April 15th If personal tax returns are not yet filed with federal and state authorities, an extension will be filed. September 1st S-Corporation Returns - If an extension will be filed, all documents and forms must be submitted to Beaubien Bookkeeping by the 1st in order to have your return submitted by the extension due date. October 1st Personal Returns - If an extension will be filed, all documents and forms must be submitted to Beaubien Bookkeeping by the 1st in order to have your return submitted by the extension due date. *The above deadline are Beaubien Bookkeeping's deadlines for us to complete everyone's returns. The IRS & State have their own due dates.
